As the Materials Management Specialist


You Will:


  • Contact vendors to obtain and confirm pricing and availability for inventory and non-inventory items;
  • Review purchase requests for completeness and create purchase orders (PO) for both inventory and non-inventory materials, resources, supplies, and equipment used by the police service;
  • Consult with the Manager, Materials Management/Fleet regarding procurement of new items; abnormal costs or quantities; and when initiating large orders of stock or when changing re-order points or quantities;
  • Alert clients of potential late deliveries and, where possible, arranges alternative delivery dates;
  • Confirm and revise general ledger distribution codes at the time of purchase based on accurate recording of expenses;
  • Confirm funding availability based upon current year budget approval and/or consultation with the Manager, Finance and the Manager, Materials Management/Fleet;
  • Prepare and maintain cost analysis reports to be used by Finance and Materials Management/Fleet;
  • Receive and process courier and product deliveries, unpack and check for order accuracy, and match packing slips to invoice or purchase order;
  • Generate documentation of previous purchases and contracts (i.e. money spent annually) to be reviewed by the Manager, Materials Management/Fleet;
  • Maintain a computerized inventory of all materials, supplies, and equipment and cross references the inventory management system with physical inventory count to ensure accuracy;
  • Record and maintain database of equipment serial records of controlled items as required;
  • Fill requisitions by packaging selected office supplies with forms for daily distribution by courier to various divisions and courts, or by physically delivering items to headquarters members;
  • Take uniform measurements and assist members with the fitting and issuance of body armour, police issued equipment, uniforms, and apparel; maintains a database of clothing and/or equipment issued to officers; coordinates the alteration process for uniforms and sends appointment notification emails;
  • Maintain database of clothing and/or equipment issued to officers; ensures that corresponding documentation is obtained and filed appropriately;
  • Receive biohazard packages with identified content (i.e. biohazardous waste), decontaminates or arranges for decontamination of clothing and equipment or for destruction and recycling as needed in accordance with internal practices; and
  • Assist with assigning pool car vehicles using an online calendar system and arranges vehicle repairs and transport to and from the Region; provides information to the Regional Insurance pool regarding motor vehicle collisions.


You Have:


  • Knowledge of professional purchasing, inventory, and materials management functions and administrative procedures with the ability to track and control inventory;
  • Successfulyl completed a post-secondary diploma in Business Administration, Supply Chain & Operation Management, or a related discipline plus two (2) years on-the-job training and experience; or an Ontario Secondary School Diploma or equivalent, plus five (5) years of professional purcahsing and inventory experience;
  • Analytical and research skills in order to develop, evaluate, determine, and recommend purchases and procurement practices;
  • Knowledge of tendering processes, purchasing functions, purchase order systems, and accounts payable procedures;
  • Experience using Microsoft Office programs including Word, Excel, PowerPoint, and Outlook; and
  • A valid Class ‘G’ Ontario Drivers’ License with no more than six (6) demerit points required to travel within the Region.
  • Familiarity with public sector purchasing requirements is an asset

  • Able to source vendors, assess procurement methods according to cost analysis, and maintain knowledge of market conditions and technology;
  • A strong communicator with excellent interpersonal and customer service skills;
  • Able to participate as an effective team member; and
  • Able to meet the testing and police security requirements for the position.
