We started as a small IT provider and have grown into a full-service technology integration company with over two dozen employees providing technology solutions to our growing list of clients.

About the Project Coordinator role:

The Project Coordinator is a supportive role geared at assisting the project management staff. In some cases, they will also be responsible for executing smaller jobs on their own from start to finish. They assist the PM in all aspects of their role and are involved with full scope of execution of jobs. Their primary objective is overall organization of information and resource coordination. They are also responsible for communicating with clients and any other contacts linked to a job.

This role requires an individual who ensures smooth delivery of information and a high level of customer satisfaction through effective time management, quick thinking, and problem solving. The ideal candidate is charismatic, engaging, detail oriented, and enjoys working in a collaborative, team focused environment. While the project coordinator works under the project manager, they should know enough of a job’s scope of work, and how it relates to their role, to organize themselves without being directed.

About you:

You have a moderate level of experience organizing people and things to meet a common goal. Your previous work experience is in a similar construction field or an administrative field that has transferrable skills. You are relatively resolved in your career path having a good idea of the direction you want to go. You have long term career objectives that have kept you in a field of work that you enjoy. Sticking to one standardized method that does not allow for change or adaptation would not challenge you enough to feel fulfilled in your work.

You are able to identify patterns rather than single points of reference. You have a balanced work and personal life. Before we rush into your future, we need you to nail:

  • Respond to customer requests in a prompt, efficient and professional manner.
  • Ensure timely coordination, distribution and follow up of job tasks.
  • Schedule workers & technicians based on times determined by client and Management team.
  • Use DHC’s ticketing and work flow management systems to document and update work progress.
  • Create and/or update tickets in ticketing software.
  • Regular job status updates in project documentation software.
  • Maintain an orderly workflow according to priorities, rescheduling and reallocating resources as necessary.
  • Maintain customer communication all through to the job’s completion.
  • Follow up on material orders
  • Help prep technicians for job departure.
  • Calculate and provide customer cost estimates under PM supervision.
  • Track individual job performance based on estimated times and costs inputted into system.
  • Update inaccurate time entries on jobs when directed to.
  • Inputting required documentation and information into multiple job management/communication applications.
  • i. This includes contracts, communication logs, tenders, quotes etc.
  • Inputting required documentation and information into shared job folder
  • Provide technical support on tickets and projects
  • Provide help desk support when needed
  • Assign and distribute tickets in the un-assigned queue.
  • Document meetings.
  • Document learning points along the job’s timeline of execution.
  • Shop Drawings - Collecting product specifications into a submittal document.
  • As Builts - Collecting installation notes into an as-built submittal document
  • Test Results - Collecting test result documentation and submitting for warranty and customer records.
  • And if you tick these boxes, that would be great:
  • 1+ years in a project coordinator role or 3+ years in an administrative role.
  • Able to multi-task, prioritize, trouble shoot and think strategically
  • Strong customer service and conflict resolution skill
  • Strong verbal and written English communication skills
  • Advanced competency with Microsoft and other standard office applications
  • Proficient in English
  • Familiarity with the construction, information technology, electronic security or telecommunications industry is an asset
