Position: Reception Clerk Job Type: Maternity Leave (12 to 15 month) Full Time
Department: Administration Reports to: CAO or designate
Work Week: Monday – Friday, 37.5 Hour Standard Work Week
Position Overview
The Reception Clerk’s primary function is to represent the municipality as the first point of contact. Reception clerks must be friendly, flexible, professional, and well organized, as project work may be required.
In addition to answering the telephone, accepting payments, getting the mail and completing bank deposits, this position provides administrative and operational support to all municipal departments.
The Reception Clerk must consistently illustrate a high standards of excellence in customer service.
Responsibilities Overview
· Respond to or redirect ALL inquiries as required over the phone and in person.
· Provide relief and support for Taxation, Accounts Payable, Accounts Receivable, and Utilities.
· Administrative support in Health and Safety activities including digital document control and willingness to learn aspects of H&S software administration.
· Perform basic bookkeeping tasks such as preparing bank deposits.
· Make travel arrangements for employees as needed.
· Run errands as needed, including but not limited to: mail, recycling, and office supplies.
· Sort and distribute mail to appropriate personnel.
· Organize special events such as the annual Christmas party and awards, Safety Lunch, and other special events.
· Order, maintain, and organize office supplies and furniture.
· Participate in promoting and improving practices that encourage a safe and healthy work environment.
· Perform other duties as required by the Director of Finance or designate.
· Effective in planning, organizing, and prioritizing work to produce measurable results;
· Interpret and adhere to organizational policies and procedures.
· Due to the sensitivity of some documents, maintain confidential information.
Qualifications
· High School Diploma
· Completion of post secondary school with experience in business or computers is considered an asset
· Valid Alberta Class 5 Drivers License
· Proficient in computer applications (Including but not limited to: internet access, electronic communication; Microsoft Word, Excel, PowerPoint)
