The opportunity
Canada Immigration Services is a leading Immigration firm in Canada. Our service portfolio includes various options for immigrants planning to visit, study, work, and settle in Canada.
This position focuses on helping clients who require immigration assistance by pointing them in the direction of the appropriate company employee, coordinating all lead-generating efforts within the company, and serving as the initial point of contact for anyone attempting to contact us.
What you will do:
As a member of the Toronto team, the Administrative Assistant, under the directions of the Head of Client Relations, will perform the following duties:
  • Providing administrative support, taking and placing calls while playing an instrumental part in the professional, helpful and friendly image of our business;
  • Provide a friendly environment to greet visitors and colleagues alike; perform receptionist duties to the best of your ability, making sure you are watching out for the finer details;
  • Help maintain the front of the house and meeting rooms, ensuring the highest possible standards. Place orders for stock; you will need to be mindful of budgetary constraints;
  • Ensure meeting rooms are prepared with refreshments, presentation equipment and room layout in advance of the meeting, clearing immediately and reassembling as necessary—this is where your organizational skills and great attention to detail will support your success;
  • Deal with external and internal telephone inquiries promptly, referring the query to the appropriate person when the query falls outside own knowledge and experience;
  • Constantly strive to improve the service to all you come in contact with. Actively proposing improvements that you know will make a real difference and implementing them when approved;
  • Booking appointments and maintaining a Google calendar.
What you bring to the role:
  • 3+ years of experience in similar administrative roles. Legal clerk experience is an asset;
  • Must have excellent organizational and analytical skills and the ability to meet strict deadlines;
  • Excellent oral and written communication skills to support excellent customer service;
  • Detail-oriented and the ability to work efficiently independently with little to no supervision;
  • Must have excellent skills in using e-mail, MS Office, Adobe PDF, and Skype.
