The Opportunity:
We currently have an exciting opportunity for a Document Controller to join our Vancouver Regional Office.
The successful candidate will support the creation and maintenance of controlled documents across the Western Canadian region, including site and the Regional Office. Providing safe, efficient, and cost-effective document control of full project lifecycles in accordance with statutory requirements and company objectives.
The key outcomes for the Document Controller focused on operational discipline and continuous improvement are:
- Support operational discipline with document control in alignment with business priorities and expectations through clearly defining what is expected, ensuring understanding of expectations, and verifying that expectations are delivered on.
- Manage the implementation of document control to maximize asset potential.
- Support the identification and management of document control risk through compliance with risk management processes and practices.
- Ensure that documents are authorized, issued, and distributed correctly in accordance with the Newcrest Document Control Standards.
- Provide a high level of quality assurance and technical review on all document management system matters.
- Liaise with document originators and/or designers to ensure accuracy and to resolve discrepancies relating to the Document Management System.
- Ensure the various teams have access to the correct documentation and conduct regular audits to ensure compliance.
- Administer the enterprise-wide document management systems and related procedures that allow the organization to capture, store, retrieve and share documentation.
- Create and/or revise procedures, plans, standards, safe work instructions, forms, technical datasheets, and other types of documentation as required.

Technical
- Maintain the Newcrest Document Control Process
- Maintain the project document numbering system and document templates
- Create and manage the naming convention for Newcrest regional operations
- Develop and recommend document control plans to Project Owners/Managers
- Maintain project related document control register
- Manage document processes and systems to ensure control and availability of documentation to Newcrest site personnel and other project stakeholders

About You:
- Business Administration Certificate or bachelor’s degree in related field
- Minimum 3 years document management experience using an industry standard electronic document management system
- Strong written and verbal communication skills
- Proficient in SharePoint and Office365 suite of products
- Strong analytical skills
- Proven ability to multi-task and prioritize based on business demands
- Detail-oriented to identify discrepancies and errors in formatting and content of documentation as well as any inconsistencies in metadata and records
- Highly proficient in MS Office (Outlook, Word, Excel, PowerPoint), with a strong emphasis on Microsoft Word and Adobe Acrobat Professional
- Technically competent with document management systems (SharePoint, Aconex,OpenText)
- Database administration experience to review and manage document control processes
- Strong knowledge of document control systems and ability to learn and implement new systems and enhancements as required
- Monitor the effectiveness of Document Management System and where necessary, research, identify, and implement improvements on document control best practices and new technologies to maintain efficiency and remain up to date
- Experience applying and understanding metadata

- Excellent coordination and organizational skills are essential.
- Familiarity with technical documentation including project plans, technical specifications, engineering drawings, design reports, quality records, software, external standards, contracts, procedures, work instructions, safety related documentation and construction records is desirable.
- Excellent verbal and written communication, presentation skills, and the ability to collaborate within an international project team environment.
