Front Desk Receptionist/Doctor’s Assistant Job at Dermapure
Acting under the supervision of the Clinic Lead, the Receptionist is responsible for greeting/hosting customers at the clinic, as well as communicating with them over the telephone, by email and/or fax. The Receptionist also provides outstanding customer service and is also responsible for invoicing clinic products and services.
In the role of the Doctor’s Assistant you are responsible to greet customers and prepare them for their treatments. The DA also assists the doctor throughout the treatment process and follows up with customers after the treatment.
Location: 2548 Guardian Rd NW, Edmonton, AB T5T 1K8.
Main responsibilities:
1. Greeting Customers/Customer Service
- Greet customers when they arrive at the clinic and provide outstanding customer service.
- Create a file for each new customer and update existing customer files.
- Answer phone calls and reply to customer e-mails.
- Book customer appointments and manage the appointment calendar.
- Prepare customer files for next-day appointments.
2. Reception/Administration Tasks
- Implement the clinic’s opening and closing procedures.
- Manage correspondence and postal mail.
- Establish the day's treatments in collaboration with the consultant.
- Manage the clinic’s info e-mail inbox.
- Ensure that the reception area, boutique area and waiting area are properly maintained and stocked.
- Order office supplies and beverages.
- Close batches, balance daily reports and transfer receivables to accounting.
- Ensure availability of cash in the register and notify the person in charge.
- Prepare customer invoices and verify invoices daily.
- Keep medical charts confidential.
- Keep treatment rooms neat and de-cluttered.
- Mix neuromodulators at start of day.
- Keep an eye on supply of neuromodulators throughout day.
- Optimize Dr schedule – daily/weekly.
- Communicate with other staff as to scheduling, handling of patients, assistance needed, etc.
3. Assist the doctor by:
- Providing exceptional customer service skills and a warm demeanor;
- Controlling flow of patients from arrival to waiting room to preparing;
- Preparing the treatment rooms so they are clean and stocked for injection (supplies and products);
- Getting patients ready for treatment: face washed, photos, consent, topical, discuss treatment and aftercare;
- During treatment, providing reassurance to patient, discussing aftercare, documenting treatment and other services or products discussed for front staff to address patient;
- After treatment, assisting with aftercare instruction, ice and arnica, follow up reinforced.
Required professional qualifications and experience:
- Training in secretarial/office systems.
- Nursing degree would be an asset.
- At least two (2) years of experience in a similar role in the medical field.
Required tools/software:
- Proficiency in Microsoft Office Suite.
- Knowledge of CTRL would be an asset.
