The CAO Office plays a leadership role in implementing the strategic priorities of Council, Executive Policy Committee (EPC), the Chief Administrative Officer and the City’s Senior Management Team (SMT). The CAO Office is comprised of a small group of professional staff focused on internal and external communications, corporate projects, strategic management overall and administrative support.
Under the general direction of the Manager of Corporate Initiatives, the Reports Analyst is responsible for the analysis of administrative reports, for coordinating and continuously enhancing the reports process (report quality, flow and format) and for actively following up on report dispositions to ensure a timely and appropriate response.
As the Reports Analyst you will:
- Coordinates the flow of administrative reports being submitted to Committees of Council and follows-up on report dispositions.
- Reviews and critically analyzes administrative reports directed for CAO/CFO review.
- Identifies and investigates the implications of report recommendations, proactively follows-up on policy, interdepartmental and/or sensitive issues and works with Departments to constructively resolve issues; refers issues to the Manager as required.
- Prepares and provides briefings on administrative reports to the Manager and distributes agendas for the Agenda Management Committee.
- Monitors report dispositions and actively follows-up to ensure a timely reporting back on items for which the CAO/CFO is accountable.
- Attends Agenda Management Committee meetings, records dispositions and actively follows-up to ensure a timely action/reporting back by Departments as required.
- Works proactively with Departments to ensure high quality administrative reports by providing advice, coaching and education as required.
- Maintains the Anticipated Reports List and works proactively with Departments to ensure it is regularly updated.
- Works closely with the Manager to maintain and ensure required upgrades are made to the Report Information System and the Report Templates.
- Works closely with both the Mayor’s and City Clerk’s Office to ensure timely processing of reports.
- Provides assistance, guidance, direction and education to Departments in the drafting of report Executive Summaries, Policy Templates, and general correspondence.
- Assists with Writing Assignments as required.
- Performs other duties as required and actively contributes to meeting the goals of the CAO Office.
Your education and qualifications include:
- Bachelor’s Degree in Business Administration or Political Science or a combination of extensive experience in a related field complemented by post-secondary training.
- 3-5 years of experience in the area of public policy formulation, implementation, and/or monitoring.
- Ability to understand complex policy, procedure and delegation of authority regulations and provide an interpretation of same to others.
- Analytical skills with a particular ability to identify significant issues and synthesize information into comprehensive and professional briefings.
- Ability to deal discreetly with confidential matters, tactfully render sound judgment and offer thoughtful advice.
- Organizational skills with the ability to work effectively self directed, within tight time frames and under stressful conditions.
- Interpersonal skills with the ability to establish and maintain working relationships with elected officials, department heads staff and the general public.
- Verbal and Written communication skills with the ability to effectively communicate on a wide variety of issues and subjects.
- Proficiency in Microsoft Office as well as an aptitude for learning new software applications.
- Knowledge of current public sector management principles and initiatives is considered an asset.
