Join Granville Island in the role of Specialty Leasing Administrator. You will provide lease processing, special projects support services, and administration to the leasing department, as well as to other departments as necessary for short term and/or specialty leasing projects and/or agreements. The successful candidate plays a role in new business development, evaluating and facilitating new short-term tenant selection from application process to completion. The Specialty Leasing Administrator provides administrative assistance to the Director with handling financially and legally sensitive tenant and business files and with proprietary information organization/classification related to land and building development, as well as proprietary leasing matters.

This is a temporary position of a duration of 24 months.

Responsibilities:

  • Actively manage the rent roll database.
  • Partner with the Finance Department on the tracking and organizing of sales reports and percentage rent reconciliations.
  • Assist with the rollout and management of new property management software (Yardi) while ensuring the accuracy of the data relating to leasing and tenancies.
  • Ensure temporary and special project lease and license agreement documents are in line with current practice and identify any gaps to mitigate risk to the corporation while ensuring all related tenant information is accurate (finance, operations, and leasing departments).
  • Assist with conducting tours of Granville Island and the potential development and/or specialty leasing opportunities and projects with prospective tenants and partners.
  • Conduct regularly the ground and online research of new businesses, interesting projects, and market trends.
  • Assist with the preparation of all temporary use, special project, and storage lease and license agreement documentation and, as necessary, the drafting of all other agreements.
  • Be actively involved in the specialty leasing and the short-term projects/markets and programs by partnering with the following departments on the ideation and planning: Planning, Programming & Public Affairs, Tenant Services.

Minimum Qualifications:

  • Completion of a bachelor’s degree.
  • Minimum of 3 years of experience in a commercial real estate industry.
  • Excellent organizational skills with the ability to complete tasks and projects accurately, efficiently, and autonomously.
  • Excellent written and verbal communication skills with the ability to effectively and professionally present information.
  • Intermediate knowledge of lease agreements and related documentation, including lease drafting and gathering supporting documentation.
  • Strong interpersonal skills with an ability to easily communicate with existing and prospective tenants in situations requiring tact, judgment, confidentiality, and sensitivity in diverse and sometimes complex situations.
  • An intermediate or advanced skill and knowledge of Microsoft Suite, Adobe products & property management software.

Preferred Qualifications:

  • Focus on leasing administration and specialty leasing.
  • Experience with non-for profits, specifically artists, arts groups, and artisans.
  • Resourceful and has the ability to critically think and can anticipate obstacles and take action to minimize their impact.
