ActionDignity’s mission is to collaborate with ethnocultural, racialized, and equity seeking groups to create transformational changes in communities and society. The approach is to catalyze collective impact by building the capacities of grassroots racialized community members to strengthen their communities and bring about systems change. This is achieved through a range of programs aimed to create change at multiple levels: individuals and families, communities, and policy advocacy for systems change. Currently, ActionDignity provides different programs relating to social inclusion and gender-based violence, mental health collaboration, workers’ rights advocacy and public safety, using the intersectional lens of anti-racism.
We are looking for an Operations Manager who will be part of the leadership team to support ActionDignity’s rapid growth in meeting the emerging needs of the ethno-cultural communities.
The Operations Manager is responsible for the strategic leadership in the following key areas: financial management, fund development, member and volunteer management, human resources, office administration, marketing and communications, and support for effective implementation of programs. The Manager effectively and efficiently manages the Operational Team to support program implementation, drive the growth of revenue, implement fund development plan, strengthen membership strategy and community engagement, and promote high quality of work while building relationships and ensuring the integration of strategic plans within organizational operations.
This is a full-time position of 37.5 hours per week with a benefit package and requires occasional flexible time commitment. Start Date: As Soon As Possible.
Responsibilities:
Leadership (10%)
- Provide strategic and forward thinking in the planning and implementation of internal operations.
- Develop and implement dynamic processes and procedures to improve organizational performance.
- Participate as a member of the leadership team to build synergies between programs and teams.
- Build and maintain relationships with key stakeholders.
Operations (25%)
- Ensure compliance with accounting regulations, legal restrictions, employment rules, and other industry-specific regulations.
- Ensure ActionDignity maintains its financial and operational integrity by managing the current operating budget, overseeing the finance and accounting processes and systems, including payroll, and providing assistance in managing growth and diversification of revenue. The regular financial reports are presented to the Executive Director and to the Board’s Finance Committee.
- Supervise the implementation of HR strategy and functions for the organization.
- Oversee the development and implementation of a Marketing and Communications strategy.
- Oversee support and administrative services.
Fund Development (40%)
- Responsible for implementing ActionDignity’s fund development plan, targeting financial goals to support the fiscal year operating budget, with a special emphasis on cultivating old, current, and new funders and growing major donors.
- Take the lead in fundraising efforts, including grant research and writing.
- Align Marketing and Communications strategy to Community Centric Fundraising and grow the volume of individual donors and individual donations.
- Implement a donor management process to prioritize and track outreach efforts and follow up.
Member and Volunteer Management (20%)
- Ensures that membership and volunteer engagement and strategies align with ActionDignity’s strategic direction and priorities.
- Develop and implement guidelines, policies, and procedures on member and volunteer recruitment, retention, and support strategies
- Ensures a validation and vetting process is in place for member application process.
- Implement ActionDignity’s Volunteer Best Practice Guide
Platform (5%)
- Strengthen ActionDignity’s community shared development platform by documenting policies and guidelines.
- Take the lead in ensuring compliance to platform policies and guidelines, which includes developing contracts and orientation of financial policies with platform partner organizations.
Perform other duties as required.
Qualifications
- Minimum 5 years of management experience with strong focus on business processes including finance, fund development, volunteer engagement, human resources, administration, and/or communications.
- Degree in business administration, human resources, finance and/or related field; Holds one professional designation (CPHR/CPA/CGA) will be an asset.
- Clear and solid understanding of financial, personnel and information policies, practices, and procedures and operational issues
- At least 3 years’ experience in grant writing and fund development
- Prior nonprofit experience is desirable.
- Sound strategic and analytical thinking, planning, prioritization, problem solving and execution skills.
- Effective attention to details with a high degree of accuracy
- High level of integrity, confidentially, and accountability
- Good knowledge of office administration, software and computer systems
- Excellent verbal and written communication skills in English
- Open to occasional flexible work hours
- A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people management skills.
- Strong interpersonal skills and cross-cultural experience and sensitivity
