The Broadway Subway Project Corporation (BSPC) is an Acciona-Ghella general partnership to deliver a 5.7 km extension of the Millennium Line, from VCC-Clark Station to Broadway and Arbutus. Once complete, it will provide fast, frequent and convenient service to B.C.’s second largest jobs center, world-class health services, an emerging innovation and research hub, and growing residential communities.
The Senior Document Controller will support the Construction Support Department with coordinating RFIs, Submittals, and other construction-related documents.
Responsibilities
- Maintain Procore which will be used to register, organize, maintain, issue and distribute construction documentation.
- Receive and distribute construction documentation, in particular RFIs and submittals.
- Maintain the project document numbering system.
- Ensure that documents are authorized, issued and distributed correctly.
- Provide a single coordination point for the management of project construction documents and records.
- Monitor the effectiveness of Procore and where necessary, identify and implement improvements to maintain efficiency.
- Manage the project’s paper-based systems for the storage, distribution, retrieval of documentation and records.
- Other duties as assigned.
Essential Functions
- Provide a high level of quality assurance and technical review on all document management system matters relating to the project.
- Liaise with document originators, subcontractors, and other construction staff and/or designers to ensure accuracy and to resolve discrepancies relating to Procore.
- Ensure the construction, procurement and commissioning teams have access to the correct documentation and conduct regular audits to ensure compliance.
Knowledge, Skills, and Abilities
- Must be able to demonstrate computer literacy in Microsoft Office applications and a engineering or construction oriented Document Management System. Knowledge of or certification in Procore is an asset.
- Excellent verbal and written communication and presentation skills and the ability to collaborate within an international project team environment.
- Familiarity with construction documentation as above.
- Able to think quickly and prioritize effectively without supervision.
Experience/Qualifications
- Excellent coordination and organizational skills are essential.
- Five years’ project coordination or construction administration experience using a document management system.
- Experience on Procore and Aconex is preferred.
- Must possess the ability to organize, schedule and coordinate own workload to meet established deadlines and milestones.
- Proficient in Microsoft Office, Adobe Acrobat 9 Professional, Publisher, Visio and Photoshop is desirable
